Vendor Terms & Conditions

Effective date: September 2, 2026

These Vendor Terms apply to vendors participating in SoFlo Card Show, January 30–31, 2027, at St. Lucie County Fairgrounds, 15601 W. Midway Road, Fort Pierce, Florida 34945. The event is produced by South Florida Events & Marketing, LLC, doing business as SoFlo Card Show (the “Organizer”).

Vendor pricing

Indoor: 6' Indoor Table — $200; 8' Indoor Table — $250.

Outdoor: 10×10 Outdoor Space — $175; 10×20 Outdoor Space — $300.

Food Vendors: Food Tent — $250; Dessert / Specialty Truck — $300; Food Truck — $350; Oversized Food Truck — $450.

Pricing covers only the approved table or space unless the Organizer confirms otherwise in writing. It does not imply that electricity, Internet, equipment, tents, display materials, special furnishings, or other amenities are included.

Application, approval, and payment

Submitting a vendor application does not guarantee participation. The Organizer may consider available space, vendor category, product mix, event suitability, prior conduct, safety, venue limitations, and application completeness.

The Organizer may approve or decline an application in its reasonable business discretion, subject to applicable law.

SoFlo does not use vendor deposits. When payment is requested for an approved vendor reservation, the vendor purchases the applicable table or space in full. A position is not guaranteed until required payment has been received and the reservation has been confirmed by the Organizer.

Placement and cancellation

The Organizer controls the event floor plan and vendor placement. Location requests are requests only unless confirmed in writing. Placement may be modified when reasonably necessary for operations, safety, venue requirements, or event layout.

Vendor payments are non-refundable unless otherwise expressly stated in writing by SoFlo Card Show. Any transfer of a paid reservation requires written approval from SoFlo.

If the Organizer cancels the entire event and does not reschedule it, the Organizer will refund the vendor fee paid directly to the Organizer. If the event is rescheduled, vendor reservations will ordinarily transfer to the replacement dates.

Products, transactions, and compliance

Vendors are responsible for ensuring that all merchandise and services offered are lawful and accurately represented. Stolen merchandise, counterfeit goods represented as authentic, fraudulent collectibles, unlawful merchandise, prohibited weapons, hazardous materials, and infringing products are prohibited.

The Organizer does not authenticate, grade, certify, guarantee, or warrant products sold or traded between attendees and vendors. Vendors are responsible for their own representations concerning authenticity, condition, grade, value, ownership, and pricing.

Vendors are responsible for their own sales-tax obligations, licenses, registrations, permits, business documentation, recordkeeping, and employee obligations.

Food, safety, and operations

Food vendors are responsible for all licenses, permits, inspections, certificates, food-safety compliance, and approvals applicable to their operation. Acceptance by SoFlo does not constitute governmental approval to sell food.

Vendors must comply with applicable law, fire and safety requirements, venue policies, Organizer instructions, emergency procedures, applicable electrical requirements, and food-safety rules where applicable.

Official load-in, operating, and load-out instructions will be provided separately. Vendors must operate within their assigned footprint and may not obstruct aisles, exits, emergency equipment, walkways, or neighboring spaces.

Vendor responsibilities

Vendors are responsible for securing their inventory, cash, cards, collectibles, equipment, displays, vehicles, and personal belongings.

Vendors must behave professionally. The Organizer may remove a vendor for serious misconduct, unlawful activity, threats, harassment, dangerous conduct, fraud, counterfeit sales, or substantial violation of these Terms.

Vendor grants the Organizer permission to use the vendor's submitted business name, public logo, website, public social handle, and product category for reasonable event promotion and vendor-directory purposes.

Acceptance and contact

Submitting payment for an approved vendor reservation constitutes acceptance of these Vendor Terms.
